Role Overview:
We are seeking a highly organized and proactive Executive Assistant / Secretary to provide administrative and secretarial support to senior management. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment. The ideal candidate will be discreet, reliable, and professional in all interactions.
Key Responsibilities:
Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
Handle all correspondence such as emails, letters, and phone calls with professionalism and confidentiality.
Prepare reports, presentations, and other documents as required.
Coordinate meetings and take detailed minutes.
Maintain filing systems, records, and databases.
Follow up on action items and ensure timely completion.
Assist with personal tasks as requested (e.g., reminders, reservations, errands).
Liaise with internal departments and external contacts on behalf of the executive.
Maintain confidentiality of sensitive information at all times.
Required Skills & Qualifications:
Proven experience as a Personal Assistant, Executive Assistant, or Secretary.
Excellent verbal and written communication skills in English (knowledge of regional languages is a plus).
Strong organizational and time-management abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Ability to handle sensitive matters with discretion.
Good interpersonal skills and a positive attitude.
Graduate degree preferred.
